A Personal CRM That Takes No Time: The 10 Minute Test
Want a personal CRM that takes no time? Use the 10 minute test: no fields, no setup homework, capture by voice, and a daily list that tells you who to text.
By Brett Kaufman. 8 years using relationships to build sales pipelines, from political fundraising to a 7 figure business to running matchmaking for two communities. Over 1,000 introductions facilitated.
A personal CRM that takes no time is one you never maintain. It asks for no fields, no tags and no weekly cleanup, captures people by voice in seconds, and hands you a short list each morning of who to text and why, so the whole thing costs 10 minutes a day or less.
Here is the moment you are in. You are back from a conference with 31 new contacts, a broker call in an hour and a seller who wants revised numbers by Friday. Someone mentions a tool that will “organize your network.” You think: I do not have time to learn a new tool. And you are right.
You have tried this before. The CRM with 40 fields. The spreadsheet you abandoned in week two. The VA who did not know which relationships mattered. Each one asked you to become an admin. You are not an admin. You are the person running the deal.
So the real question is not whether you have time. It is whether the tool needs any.
What makes a personal CRM take no time?
It takes no time when the tool does the work you used to skip: remembering, sorting and deciding who matters today. You only do the part only you can do, which is sending the message.
Most tools fail this because they were built for a sales team with a manager checking the pipeline. Somebody has to type the data in. Somebody has to update the stage. On a team, that is a job. For you, it is homework, and homework loses to a live deal every time. The longer version of that is in why your CRM failed you for deal origination.
A tool that takes no time flips it. It does the research and gives you the output. Here is how I would judge any of them.
How do you spot a personal CRM that takes no time?
Run any personal CRM through these five questions before you give it a single contact. If it fails two, it will fail you.
- Does it work on your phone in one hand? You will use it in a parking lot, a cab, a hotel lobby. If it needs a laptop, it needs a desk, and you are never at your desk.
- Can you capture a person in under 10 seconds? Not a form. A name and a sentence, said out loud, or a photo of a card.
- Does it tell you who to text today, or do you have to figure it out? A list of 800 names is not a plan. A list of five with a reason each is.
- Is the first draft already written? Writing from scratch is where the 10 minutes turns into 40.
- Does it survive two weeks of neglect? You will go heads down on diligence. When you come back, the tool should catch you up, not punish you with a backlog.
Use this checklist on every tool you look at, including ours. The full field is compared in the personal CRM comparison guide.
Where does the time actually go?
Time goes into four places: setup, capture, deciding and writing. Most tools only save you the first one, if that.
| Where time goes | Typical CRM | A no time tool should |
|---|---|---|
| Setup | Design fields, stages and tags | Have no schema to design |
| Capture after an event | Type each contact into a form | Take a name and a sentence by voice, or a photo of a card or badge |
| Deciding who to contact | You scroll and guess | Show a short list with one reason per person |
| Writing the message | You start from a blank screen | Hand you a draft you fix in seconds |
| After two quiet weeks | A backlog of overdue tasks | A fresh list for today |
The rows that matter most are the bottom three, because they repeat every day. Setup happens once. Deciding and writing happen forever.
What does “no time” look like after an event?
It looks like 10 seconds per person, while you are still in the room. Anything longer and you will do it “tonight,” which means never.
Say you meet a family office principal by the coffee station. You walk away, open your phone and say his name plus one sentence, something like “family office, looking at HVAC roll ups in Texas, wants a CPA intro.” Done. Or you snap his badge. Or you take a selfie together. It gets filed under the event.
That is the whole capture step. Nothing to tag. Nothing to type. When the 48 hours after the event arrive, he is already on your list with a reason and a draft. For the daily side of this, read the super connector morning routine.
Do you have to install anything?
With FRONT OF MIND, no. There is no native iPhone app yet. It runs in your phone’s browser.
If you want it one tap away, Safari lets you put any site on your Home Screen. Apple’s steps: open the site in Safari, tap Share, tap Add to Home Screen, turn on Open as Web App, then tap Add, per Apple’s guide to turning a website into an app. After that it opens like any other app.
That matters for one reason. Every install, update and permission screen is another place a busy person quits.
What if you have zero time for setup?
Then do not do setup. Hand it off.
FRONT OF MIND has a Concierge setup for $500. If the honest answer is that you will never sit down for the first session, pay for that and skip it. If one broker call is worth more than $500 to you, that is an easy trade.
If you would rather do it yourself, keep it small. Start with the 50 people who could send you a deal this year. The minimum viable contact system shows exactly which 50 and which three facts to keep on each.
Your 10 minutes, done for you
Here is what the morning looks like. You open FRONT OF MIND to your 10 minutes for today. Each person has one line saying why today: they posted, it is their birthday, you met at an event 9 days ago and never followed up, a deal in your pipeline has been quiet 7 days, their company was in the news, they are going cold.
Each one has a draft. A text style message, 40 words max. Nothing sends without your tap, and it learns from your edits. Posts only show if they are confirmed to belong to that person.
Need someone fast? Ask Liala out loud: “who do I know that is an M&A advisor” or “who lives in Miami.” You get the right people and why. There are also intros to make this week, with dated proof on both sides.
Your contacts are encrypted. No one on our team looks at them. Export or delete anytime.
And the risk is on us. If FRONT OF MIND doesn’t surface people in your network worth reaching out to within 72 hours, we’ll refund you. No questions asked.
