YPO Follow Up After a Retreat: Who to Text on Monday
YPO follow up after retreat: who to text Monday, what forum confidentiality rules out, a decision table, and short texts for your forum and chapter.
By Brett Kaufman. 8 years using relationships to build sales pipelines, from political fundraising to a 7 figure business to running matchmaking for two communities. Over 1,000 introductions facilitated.
The right YPO follow up after retreat weekend goes out by Monday: first to anyone you promised something to, then to members you met outside your forum, then to the organizer. Every text references only what happened in public, never what was said in forum.
That is the whole plan. The confidentiality piece is where most people get it wrong, so start there.
You fly home Sunday night with a full head. Two days with your forum. A dinner where you sat next to a member from another chapter who runs a logistics company and mentioned, over dessert, that he wants to buy a competitor. A hike where the retreat chair asked if you knew anyone in family office land. By Wednesday you are back in your own deals. By the next chapter event, that dinner conversation is gone.
What does forum confidentiality mean for your follow up?
It means you follow up on the person and on public conversations, never on what was shared in forum. Both organizations say this plainly on their own pages. YPO describes forum as a small, tight knit group that provides “a confidential resource you can rely on for honest insight”. EO describes its Forum as a group of 8 to 12 entrepreneurs built around confidential learning between peers.
I am not going to describe how a forum session runs. Neither organization publishes that in detail, and it is not mine to describe. What matters for your Monday texts is simple. If you heard it in forum, it does not appear in a text, an email, a note on your phone or a contact record. Ever.
This is the information gain on this page, so here it is as a table you can check before you hit send.
| What you know | Where you learned it | Can your text mention it? |
|---|---|---|
| He wants to buy a competitor | Dinner conversation, open table | Yes, if he said it in public |
| She is stepping back from the CEO role | Forum session | No. Wait for her to raise it |
| He asked if you know a family office | Directly, on the hike | Yes. That is a request |
| Her company just closed a round | Press release | Yes |
| His partner is struggling | Forum session | No |
| You promised to send a book or a name | Anywhere, to them directly | Yes, and send it |
The rule of thumb: if you would be comfortable saying it at the chapter cocktail hour, it can go in a text. If not, it stays in the room.
Who do you text first after a YPO or EO retreat?
Promises first, then cross chapter connections, then the organizer, then your forum mates. Here is the order and why.
- Anyone you promised something to. A name, a book, a lender, a dinner. The promise is the follow up. Keep it to one line and attach the thing. See how to track introductions you owe after events for the system behind this.
- Members from other forums or chapters you clicked with. These are the relationships that drift. You will not see them next month. A retreat is often the one time a year you share a table.
- The retreat chair or organizer. One thank you with one specific detail from the weekend, plus one thing you can give: a speaker idea, a venue, a member for the next event.
- Your own forum mates. You will see them soon, and the norms of your forum already govern how you stay in touch. A short note on something public, the dinner or the view, is plenty.
What should a YPO follow up after retreat say?
Short, specific and public. Under 40 words, written like a text, with a [Name] where the name goes.
The promise kept: “[Name], here is the lender I mentioned at dinner. [Lender name], she does exactly the deal size you described. Want me to make the intro?”
The cross chapter connection: “[Name], still thinking about your point on buying a competitor. I know two operators who did it in your space. Happy to connect you if useful.”
The organizer: “[Name], thank you for this weekend. The dinner seating was perfect. I have a speaker idea for next year if you want it.”
The forum mate: “[Name], that view on Saturday morning was worth the trip. See you next month.”
Notice what is missing. No reference to anything said in forum. No pitch. No “let’s grab coffee and see where we can help each other.”
What happens in the 30 days after?
Day 7 is the second touch for the people in step 2. Day 30 is a real update. Here is the timeline.
| When | Who | What |
|---|---|---|
| Sunday night | Anyone you promised | Send the thing |
| Monday | Other chapter connections, organizer | One text each |
| Day 7 | Anyone who replied | Make the intro you offered |
| Day 30 | Your top three new connections | One real update or a useful name |
| Next chapter event | Everyone above | Recognize them by name, with context |
The day 30 touch is the one almost nobody sends. It is the difference between “we met at the retreat” and “we are in each other’s world.”
Here is how I would run it
I have been a founding member of Four Rooms Mastermind since 2022, and I run matchmaking for two communities. My view: the retreat is the easy part. The value lives in what you do with the people you met in public, and the discipline is keeping the private part private.
Capture has to happen the same night, while you still remember who said what at which table. Log only the public facts: where you met, what they do, what they asked you for. Then let the follow ups come to you on schedule instead of relying on memory. For the general mastermind version, see mastermind follow up after a meeting. The wider system lives in the super connector’s operating system.
How FRONT OF MIND handles it
FRONT OF MIND opens on your 10 minutes for today. After a retreat, you say a name and one public sentence out loud (“[Name], logistics, wants to buy a competitor, met at the retreat dinner”) or snap a selfie together, and it is filed under the event.
Monday morning, each person shows up with a one line reason why today: you met at an event two days ago and never followed up, or a follow up is due. Each draft is a text, 40 words max. Nothing sends without your tap, and it learns from your edits.
Your contacts are encrypted. No one on our team looks at them. Export and delete anytime. It runs in your phone’s browser and can be saved to your home screen. Free for your first 25 contacts and 1 intro, then $29 a month.
