Free Personal CRM: 6 Real Free Plans and Their Limits
Every free personal CRM plan we could verify in October 2026, from Mesh to HubSpot to Monica, with the contact caps and limits side by side in one table.
By Brett Kaufman. 8 years using relationships to build sales pipelines, from political fundraising to a 7 figure business to running matchmaking for two communities. Over 1,000 introductions facilitated.
The best free personal CRM for a large network is Mesh, which is free for up to 1,000 contacts. HubSpot’s free CRM also caps at 1,000 contacts, Cloze drops you to a free plan after its trial, Monica is free only if you host it yourself, and Notion is free if you build the system on your own.
Full disclosure: I built FRONT OF MIND, which is on this list. So every limit below comes from the vendor’s own page, checked October 28, 2026, and I will tell you where the free options beat mine.
Here is the usual moment. You just got back from a deal conference with 30 new names on top of the 1,400 already in your phone. You want something to hold all of it. You do not want another subscription until you know it works. So you search for free, and half the results are trials wearing a free label.
This page only lists plans that stay free.
Which personal CRMs are actually free?
Six tools have a plan that does not expire. Dex, Covve and folk offer trials only, so they are not here.
| Tool | What is free | The limit that matters | Paid from |
|---|---|---|---|
| Mesh | Personal plan | Up to 1,000 contacts. Spreadsheet and CSV imports are Pro only | $10 a month |
| Cloze | Free plan after the 14 day trial | Contact management and email inbox. Limits not published | $17 a month billed annually |
| HubSpot | Free CRM, no expiration | Up to two users and 1,000 contacts | Paid Sales Hub editions |
| Monica | Self hosted, open source | You run the server and backups. Hosted signups are closed | $9 a month hosted |
| Notion | Free plan | You build it. 7 day page history, 5 MB uploads, buttons only automations | $10 a member a month |
| FRONT OF MIND | Free tier | First 25 contacts and 1 intro | $29 a month |
Read the third column first. It tells you not just who is free, but what breaks first.
What does each free personal CRM plan leave out?
Each free plan cuts something different, so match the cut to how you work.
Mesh. The free plan imports from email, calendar, X, LinkedIn, Facebook and iMessage, and it includes reconnect prompts, reminders, birthday notifications and unlimited life updates like job changes and news mentions. What you give up is scale and custom data. Past 1,000 contacts you need Pro, and Pro is where spreadsheet imports live. If your broker list sits in a CSV, that matters.
Cloze. Cloze says its free plan “includes contact management and email inbox.” That is all the page commits to. The paid plans are where Cloze earns its reputation for building a timeline of every email, call and meeting. Treat the free plan as a way to keep your data after the trial, not as the product.
HubSpot. HubSpot says its free CRM is “100% free, with no expiration date,” with contact management, deal pipelines, a reporting dashboard and its Breeze Assistant. It is a real sales CRM. The catch is the shape: it is built around companies and deal stages, and the people who never become a deal record tend to vanish. I wrote about that pattern in why HubSpot goes stale for searchers.
Monica. Monica’s pricing page says self hosters get “the full open source application” with “unlimited contacts” and “full control over your data.” You also own maintenance and backups. And as of October 2026, the hosted version says “Registration is currently closed” while v3 is built, so self hosting is the only way in today.
Notion. One person on the free plan gets unlimited blocks. You give up long page history (7 days), large files (5 MB per upload), real automations (buttons only) and most of Notion AI (a limited trial). Notion will store anything. It will not tell you who to call.
FRONT OF MIND. Free for your first 25 contacts and 1 intro. That is a small cap on purpose. It is a test, not a home for your whole phone.
Which free plan breaks first for someone with a big network?
The contact cap breaks first, then the deciding.
Here is illustrative math, not a study. Say you have 1,400 contacts, 60 of whom are brokers, bankers, lawyers and CPAs who could send you a deal. Run that through each free plan:
- Mesh or HubSpot: 400 people do not fit. You either pay or pick which 1,000 to keep, which is the same decision you were trying to avoid.
- Monica self hosted: everyone fits. Now you maintain a server, and reminders are only as good as the cadence you set for 1,400 people.
- Notion: everyone fits. You build the database, the views and the reminders, then keep it current by hand.
- Cloze free: unknown until you import, because the limits are not published.
- FRONT OF MIND free: 25 fit. Pick the 25 intermediaries who matter most this quarter and see if it surfaces a reason to text one of them this week.
Every free plan here solves storage. None of them solve the morning question: which 5 of the 60 should hear from you today, and what do you say?
Is a free personal CRM enough if your income comes from your network?
For storage, yes. For staying in front of the people who send you deals, usually not.
A free plan is good at remembering. Mesh even notices when someone changes jobs. But a reminder you set three months ago does not know the broker just closed a deal or posted about a new mandate. You still have to open the app, scroll and decide. For someone who is heads down in diligence, the deciding is what dies first.
That is the job I built FRONT OF MIND for. In political fundraising I tracked every donor by hand: kids’ names, teams, what they told me about their business. It worked, and it cost me hours a week. FRONT OF MIND does the deciding part.
It opens on your 10 minutes for today. Each person has a one line reason why today: they posted, it is their birthday, you met at an event 9 days ago and never followed up, a follow up is due, a pipeline deal has been quiet 7+ days, their company was in the news, or they are going cold. Each comes with a draft written like a text, 40 words max. Nothing sends without your tap, and it learns from your edits.
Where the free options beat mine. Mesh holds 40 times as many contacts for free. HubSpot gives you a real deal pipeline for free. Monica gives you full control of your data on your own server. FRONT OF MIND has no native app, no team pipeline and no self hosting. It runs in your phone’s browser.
Contacts in FRONT OF MIND are encrypted. No one on our team looks at them. Export and delete anytime.
How do you choose a free personal CRM in 30 seconds?
- You want the biggest free address book that updates itself: Mesh.
- You want a free deal pipeline with a teammate: HubSpot.
- You want unlimited contacts and full control, and you can run a server: Monica.
- You want to design your own system: Notion. Read where a Notion CRM breaks first.
- Your relationships live in your inbox: try Cloze’s trial, then see what the free plan keeps.
- You want to be told who to text today and why, with the text drafted: FRONT OF MIND.
If you are open to paying, the full field is in the best personal CRM guide, the phone view is in best personal CRM for iPhone, and every head to head lives in personal CRM comparisons. Prices and limits change, so check each page before you import.
